Terms & Conditions

Thank you for choosing Headley Flower Garden. We want you to have a lovely experience when ordering flowers, booking a workshop, visiting us for Pick Your Own or choosing us for your wedding or special event.

Our flowers are seasonal, British-grown and influenced by the natural growing conditions of each year. These Terms & Conditions explain how our orders and bookings work, including payments, changes, cancellations, deliveries and the care of our flowers.

PART 1 — GENERAL TERMS & CONDITIONS

These General Terms & Conditions apply to all customers and bookings. Additional terms applying specifically to weddings and events are set out in Part 4.

1. Seasonal flowers

Our flowers are grown naturally and are seasonal. The varieties, colours, quantities and availability will therefore vary according to the time of year and growing conditions.

We cannot guarantee particular flower varieties unless specifically agreed in writing. Where a particular variety is unavailable, we will aim to provide a suitable alternative of a similar quality and value.

Where possible, flowers and foliage will be grown at Headley Flower Garden. If we need to supplement our flowers, we will endeavour to source from other local or British flower growers and suppliers.

2. Payment and bookings

Bookings and orders are only confirmed once we have received the required payment or deposit and, where applicable, have acknowledged the booking.

Please check dates, times and other booking details carefully before making payment.

Where an invoice is issued, payment is due by the date stated on the invoice.

3. Changes to orders and bookings

We understand that plans sometimes change and will always do our best to accommodate reasonable requests.

Any changes are subject to availability and may not be possible once flowers, materials or other products have been specifically prepared or committed to an order.

Please contact us as soon as possible if you need to make a change.

4. Delivery and collection

Delivery is available for selected products and locations, subject to availability.

A delivery charge may apply and will be confirmed when your order is placed.

Delivery dates and time slots are limited. While we will always try to accommodate your preferred date and time, we cannot guarantee a particular delivery slot unless this has been agreed with you in advance.

If you will not be available to receive your flowers, please let us know when placing your order and provide suitable instructions for leaving the flowers safely.

Collection can be arranged from Headley or Ashford Hill, by prior agreement.

5. Flower quality and complaints

We take great pride in the quality and freshness of our flowers.

Flowers are a natural and perishable product and their vase life will vary according to the variety, season, weather, temperature, environment and how they are cared for.

If you have any concerns about the quality of your flowers, please contact us as soon as reasonably possible after delivery or collection. Photographs may be requested to help us assess the issue.

If we agree that the flowers do not meet the expected standard or do not correspond with what was agreed, we will work with you to find an appropriate remedy, which may include a replacement or refund where appropriate.

Nothing in these Terms & Conditions affects any statutory rights you may have.

6. Care of flowers

Our flowers are freshly picked and carefully conditioned before being supplied.

We recommend that flowers are kept somewhere cool, away from direct sunlight, heat sources and draughts, and that vase water is changed regularly.

Care instructions will be provided where appropriate.

Once flowers have been collected or delivered, we cannot accept responsibility for deterioration resulting from storage, handling or care outside our control.

7. Circumstances beyond our reasonable control

We will always make every reasonable effort to fulfil orders and bookings.

However, circumstances beyond our reasonable control may occasionally affect our ability to do so. These may include extreme weather, crop failure, serious pest or disease problems, natural disasters, serious illness or other unforeseen circumstances.

If this happens, we will contact you as soon as reasonably possible and discuss the available options.

8. Liability

Nothing in these Terms & Conditions excludes or limits liability where doing so would be unlawful, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any statutory rights that cannot legally be excluded.

Subject to the above, our liability in relation to an order will be limited to the amount paid for the affected order.

9. General

We may need to make reasonable changes to our products, flowers, workshops or activities where necessary. For example, particular flower varieties may not always be available due to seasonal conditions, weather or crop availability.

Where this happens, we will provide a suitable alternative wherever reasonably possible.

The Terms & Conditions applicable to your booking will be those provided to you at the time of booking.


PART 2 — BOUQUETS

These terms apply to bouquets and everyday flower orders and do not apply to wedding flowers or event flowers, which are covered separately in Part 4.

10. Ordering and changes

Our bouquets are picked and prepared to order.

We ask for at least 48 hours' notice if you wish to make changes to your order.

Changes are subject to availability and cannot always be guaranteed, particularly once flowers have been picked or prepared.

11. Delivery and collection

We currently offer delivery to Kingsclere and surrounding villages within approximately 3 miles of the farm (RG19 8BB).

A delivery fee applies to all deliveries.

Delivery days and time slots are limited, so although we will always try to be as flexible as possible, we cannot guarantee a particular delivery day or time unless agreed with us in advance.

Collection can also be arranged from Headley or Ashford Hill by prior agreement.

12. Freshness

Our flowers are freshly picked and conditioned as close as possible to the time of delivery or collection, generally within 24 hours.

As with all fresh flowers, their vase life will depend on the variety, time of year and how they are cared for.


PART 3 — WORKSHOPS & PICK YOUR OWN

13. Bookings

Places at our workshops and Pick Your Own sessions are limited and are secured once the required payment or deposit has been received.

Please check the date and time carefully before booking.

14. Individual bookings — cancellations and changes

If you need to cancel or change the date of an individual workshop or Pick Your Own booking, please contact us as soon as possible.

More than 14 days before the event

Where applicable, we will offer a refund or transfer your booking to an alternative available date.

Less than 14 days before the event

The booking fee will normally be non-refundable.

However, you are welcome to arrange for someone else to attend in your place, provided you let us know in advance.

At our discretion, we may alternatively offer a suitable replacement, such as a bouquet or DIY wreath kit.

15. Private group workshops

For private group workshops, including Christmas wreath-making, Pick Your Own and floristry workshops, a £10 per person deposit is required to reserve your date.

An invoice will be sent to the group organiser, who is responsible for ensuring full payment is received.

The remaining balance will be due 14 days before the event.

Once final payment has been made, individual places cannot normally be refunded where a member of the group is unable to attend within 14 days of the event.

A replacement attendee may be arranged, provided we are informed in advance.

At our discretion, we may alternatively offer a suitable replacement, such as a gift bouquet or DIY wreath kit.

16. Weather and outdoor activities

Some of our activities take place outdoors and are weather dependent.

We will make every reasonable effort to go ahead as planned, but the safety of our customers and staff will always come first.

If weather conditions mean that an event cannot safely take place, we will contact you and offer an alternative date or other appropriate option.

17. If we need to cancel an event

Occasionally, circumstances outside our reasonable control may mean that we need to cancel or postpone an event.

If we need to cancel, we will offer, where appropriate:

  • an alternative date;
  • a full refund; or
  • flowers or another suitable product to an equivalent value, for collection.

We will contact you as soon as possible and do our best to provide a suitable alternative.


PART 4 — WEDDING & EVENT TERMS & CONDITIONS

These terms apply specifically to wedding and event flower orders and are additional to the General Terms & Conditions in Parts 1–3.

18. Seasonal availability

Our flowers are mainly grown outdoors and are naturally influenced by the seasons and weather.

The varieties, colours and quantities available will therefore vary throughout the growing season.

We are unable to guarantee specific flower varieties, as availability can be affected by weather, growing conditions, pests, disease and other factors outside our control.

We will, however, always aim to provide flowers that are consistent with the agreed style, colour palette, seasonal character and overall value of your order.

Where possible, flowers and foliage will be grown at Headley Flower Garden.

If we are unable to grow enough suitable flowers for your event, we may supplement your order with flowers or foliage from other local or British growers and suppliers.

As a member of Flowers from the Farm, we have access to a network of British flower farmers.

Any substitutions will be made with the aim of maintaining the agreed look, quality and value of your order.

19. Reserving your wedding or event date

To reserve your wedding or event date, we ask for a £50 save-the-date/administration fee.

This fee covers the initial administration involved in reserving your date and preparing your order and will be credited against your final invoice.

The fee is non-refundable if you subsequently cancel your booking, subject to your statutory rights.

Your booking is not confirmed until we have received the save-the-date fee and you have received acknowledgement from us.

20. DIY flower buckets

Our DIY buckets contain a seasonal selection of approximately 60–70 stems, generally made up of approximately two thirds flowers and one third foliage.

The exact contents will vary according to what is looking beautiful and is ready to pick at the time of your event.

If you would like help working out how many buckets or stems you will need for your arrangements, we offer consultations by prior arrangement.

Consultations are charged separately and are payable in advance.

21. Changes to your wedding or event order

We understand that wedding and event plans can change.

We will do our best to accommodate reasonable changes to your order up to 4 weeks before your event.

At 4 weeks before the event, we will confirm your final requirements and issue the final invoice.

If you request additional flowers after this point, we will do our best to accommodate your request, subject to availability. Any additional flowers will be charged separately.

We cannot guarantee that reductions or changes requested after the final order has been confirmed will result in a corresponding reduction in price, particularly where flowers have already been grown, purchased, prepared or otherwise committed specifically for your event.

22. Payment

The final invoice will be issued approximately 4 weeks before your event.

The final balance must be paid at least 14 days before the event.

We reserve the right not to prepare or release flowers where payment has not been received by the agreed due date, after first contacting you regarding the outstanding payment.

23. Wedding and event delivery and collection

Collection dates and times must be agreed with us in advance.

We have limited delivery availability, particularly during busy periods.

Delivery is charged separately and will be calculated according to the distance from RG19 8BB.

Once a delivery time has been agreed, someone must be available to receive the flowers, or suitable instructions must be provided in advance.

Once flowers have been delivered or collected, responsibility for their care passes to the customer, subject to any statutory rights.

24. Buckets and containers

For DIY flower orders, customers must provide their own suitable, clean buckets for transporting the flowers.

Dirty or unsuitable buckets may adversely affect the vase life of the flowers.

If you are unable to provide suitable buckets, buckets may be purchased or hired from us, subject to availability.

Where a refundable arrangement has been agreed, buckets must be returned in the same condition within 7 days of collection or delivery for the agreed refund to be made.

25. Care of wedding and event flowers

Our flowers are freshly picked and carefully conditioned before they are supplied to you.

We recommend that flowers are collected no more than one day before the event, unless otherwise agreed, and are kept in a cool area away from direct sunlight until they are needed.

Flowers are a natural and delicate product and their lifespan will vary according to variety, weather, temperature, environment and how they are cared for.

Once flowers have been collected or delivered, Headley Flower Garden cannot be responsible for deterioration resulting from storage, handling or care outside our control.

26. Cancellation by the customer

We understand that weddings and events sometimes have to be cancelled or postponed.

If you need to cancel your booking, please let us know as soon as possible.

Any cancellation charge will take into account the work already carried out, costs incurred specifically for your event, the seasonal and perishable nature of the flowers and our ability to resell or reuse flowers, materials or the date.

More than 4 weeks before the event

The £50 save-the-date/administration fee will normally be retained.

Any other amounts paid will be refunded, less any reasonable costs already incurred specifically for your booking.

Between 4 weeks and 14 days before the event

We may retain amounts reasonably required to cover costs already incurred specifically for your event, including flowers, materials, administration and other committed costs.

Any remaining balance will be refunded.

Less than 14 days before the event

Because flowers are perishable and may have been specifically grown, ordered, picked and prepared for your event, we may need to retain reasonable costs already incurred and other direct losses resulting from the cancellation.

We will always take reasonable steps to minimise our losses and, where possible, reuse or resell flowers and materials.

Any cancellation charge will be reasonable and proportionate to the loss we have actually suffered as a result of the cancellation.

These terms do not affect any statutory rights you may have.

27. Postponement or change of date

If you need to postpone your wedding or event, please contact us as soon as possible.

We will always try to accommodate a change of date, subject to availability.

If we are able to transfer your booking to a new date, we will confirm any changes to the order and pricing with you.

If we are unable to accommodate the new date, the cancellation terms above will apply.

28. If we need to make changes to your flowers

Because our flowers are grown naturally and are dependent on seasonal conditions, we may occasionally need to make substitutions.

We will always aim to provide flowers that are of a similar quality and value and that fit the agreed colour palette and style.

If exceptional circumstances mean that we are unable to provide a significant part of your order, we will contact you as soon as reasonably possible to discuss suitable alternatives.

29. If we are unable to fulfil your wedding or event order

We will always make every reasonable effort to fulfil your order.

However, circumstances outside our reasonable control — such as extreme or prolonged adverse weather, crop failure, serious pest or disease problems, natural disasters, serious illness or other unforeseen circumstances — may affect our ability to supply your flowers.

If this happens, we will contact you as soon as possible and discuss the available options.

Where we are genuinely unable to fulfil the contract, our liability will be limited to refunding payments made to us for the affected order, subject to your statutory rights.

30. Wedding and event complaints

We take great pride in the quality and freshness of our flowers.

Please inspect your flowers as soon as reasonably possible after collection or delivery and contact us promptly if you have any concerns.

Where appropriate, please provide photographs so that we can understand and assess the issue.

If we agree that the flowers do not meet the standard reasonably expected or do not correspond with the agreed order, we will work with you to find an appropriate remedy.

Nothing in these terms is intended to limit or exclude any statutory rights you may have.
